Negative file balances: what they mean and how to fix them

Short answer: A negative file balance means a file disbursed more than it received, so other files’ money is covering it. Find the transaction that caused it, correct a misposting, or fund the file if the shortfall is real, and document the fix the same day.

A negative file balance means a file has disbursed more than it received. The account as a whole can still balance, because the shortfall is being covered by money that belongs to other files. That is why the trial balance, the third leg of a three-way reconciliation, matters.

Common causes

  • A disbursement posted to the wrong file.
  • A wire or deposit that was expected and never arrived, or arrived and was posted elsewhere.
  • A check that was voided and reissued, with both still on the books.
  • A fee or charge taken from the file before the funds were received.

How to correct one

  1. Find the transaction that took the file negative.
  2. If it was posted to the wrong file, correct the posting.
  3. If funds are genuinely short, fund the file and document the entry.
  4. Note what happened and what was done in the file.

Do it the day you find it. A negative file that sits is other people’s money covering it.

Questions

If the bank balance ties, why does a negative file matter?

Because the bank does not know which file the money belongs to. A negative file means another file’s funds are covering it.
